Beehive Federal Credit Union is seeking a full-time Executive Assistant to work in our Rexburg Administrative office. This position works 40 hours a week, Monday-Friday, with Saturday hours as needed. The expected pay is $_____ per hour, DOE.
Job Description
The Executive Assistant provides executive support to the CEO, Board of Directors and other executive staff, enabling them to focus on core responsibilities of their jobs.
- Provides confidential administrative support primarily to the CEO and on a as needed basis to members of the management team. Compose letters and memoranda from dictation, verbal direction, written documents and files; edits written communications.
- Collects and prepares information for use in discussions and meetings; attends and takes minutes at Board meetings and other meetings as assigned; prepares and disseminates information to the Board of Directors as requested by the CEO. Coordinates meals for board committee and other meetings.
- Project administration: involves implementation of a project, monitoring project progress and providing regular follow-up with others.
- Works closely with the marketing department to assist with promotions and advertisements. Updates and monitors Beehive's social media.
- Primarily responsible for organizing, maintaining, and ensuring that the credit union's policies and bylaws are current and up to date.
- Prepares or assists in the preparation of assigned reports.
- Direct and coordinate credit union fundraising efforts for Children's Miracle Network.
- Coordinates meetings, makes travel, lodging arrangements, and processes reimbursements for members of management team and Board members.
- Maintains daily appointment calendars. Screens incoming mail, publications, phone calls, visitors, and correspondence.
Qualifications
Must have excellent written, verbal, organizational, and editing skills; accurate typing skills at or above 65 wpm; proficient with spreadsheet, word processing and desktop publishing software; an understanding of business principles; willingness to follow-up with others on assigned tasks; ability to self-start and take initiative in the completion of projects and assignments throughout the Credit Union. An understanding of the functions of financial institutions preferred. Six months to two years of similar or related experience and a two year college degree or equivalent.
Physical Requirements
Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing/descending stairs in emergency situation. Must be able to operate routine office equipment including telephone, copier, facsimile, and calculator. Must be able to routinely perform work on computer for an average of 6-8 hours per day. Must be able to work extended hours whenever required or requested by management. Must by capable of regular, reliable and timely attendance.
Working Conditions
Must be able to routinely perform work indoors in climate-controlled shared work area with moderate noise.
